Name of the project:   Adaptation at Scale Prize Project / Ideas To Impact (A@SPP/I2I)

Project holders:           Consortium of IDS Nepal, C-GED Nepal and SIAS

Position title:               Programme Associate (Part time)

Reports to:                  Project Manager

 

Under the overall coordination responsibility of Integrated Development Society, Nepal (IDS-N), and partnership with Centre for Green Economy Development, Nepal (CGED-N) and South Asia Institute for Advanced Studies (SIAS), the Adaptation at Scale Prize Project (A@SPP) in Nepal is being implemented for a period of 21 months (Mar 2017 to Dec 2018). The overall aim of A@SPP is to facilitate and support efforts to scale up and scale out climate change adaptation activities in Nepal. It is expected to complement and add value to ongoing climate change adaptation and mitigation activities in line with evidences suggesting that innovation prize benefits are maximized when they are embedded in ongoing activities rather than standalone efforts. The Stage 1 (Protsahan Prize) of the project concluded already in Dec 2016 and the Stage 2 (Karyanwayan Prize) is in effect now onwards. Stage 2 of the project intends to incentivize efforts to implement climate change adaptation achievements at scale, i.e., either to new geographical areas and populations (scaling out) and/or to higher levels of governance systems (scaling up).

 

The main responsibilities of the Programme Associate, under the day to day supervision, direction and guidance of the Team Leader/Project Manager, will mainly lie on the following areas of the project:

  1. Provide professional programme related support for conceptualizing, designing, administrating and monitoring different activities of A@SPP.
  2. Support theTeam Leader/Project Manager in facilitating coordination, collaboration and building functional linkages with other agencies including the government agencies, funding partners and other development partners for promoting project’s interests.
  3. Handleprofessional communications and process applications of the potential prize partners.
  4. Supervise IT professional for developing communication strategy, media outreach and partnership development with relevant media outlets.
  5. Support in gathering and publishing innovative ideas and best practices of the projectand facilitating the work of differentexperts of the project.
  6. Draft necessary contract documents and terms of references for hiring required expertise from elsewhere.
  7. Support the Project Manager for updating and maintaining time sheets and relevant documents of all the project personnel.
  8. Supported by the IT professional, upload project related information, photographs, activities, etc., to the webpage as per the guidelines and approval of the A@SPP.
  9. Support in preparing/drafting, notices, news items, media briefs, press releases, press notes, and other knowledge products.
  10. Supported by the IT professional, coordinate media activitiesof the project.
  11. Manage project communications, including enhancing the profile and visibility of the project.
  12. Support the Team Leader/Project Manager for effective monitoring and reporting of the project with the support from M&E expert and other project professionals.
  13. Undertake and implement specific tasks related responsibilities as outlined in the Milestone Based Activities Plan.
  14. Undertake any other activities that may be needed to support smooth implementation of the project activities and as advised by the Team Leader/Project Manager.

(Note: for undertaking above assignment, the JV partners may decide to outsource an individual expert/firm/consultant depending on the Expression of Interest (EoI).  The cost of the service will be as per the resources available with the A@SPP.

The main responsibilities of the Administration and Finance Associate,under the day to day supervision, direction and guidance of the Team Leader/Project Manager, will mainly lie on the following areas of the project:

  1. Provide professional support for administration, finance and account related activities of the project.
  2. Prepare quarterly expenditure plan of the project and get it approved from relevant authorities.
  3. Maintain books of accounts of all the transactions including vouching, ledger entry, etc.
  4. Support for logistics arrangement of the project.
  5. Facilitate procurement and maintain up to date records of the assets by regularly updating status of procurement, stock and store register.
  6. Ensure timely payment.
  7. Ensure safe keeping of finances and accounts related documents.
  8. Manage petty cash fund of the project.
  9. Support the Project Manager for updating and maintaining time sheets and relevant documents of all the project personnel.
  10. Support the Team Leader/Project Manager for effective financial monitoring and reporting of the project.
  11. Facilitate internal as well as statutory audit functions of the project as and when needed.
  12. Prepare periodic progress reports of financial transactions along with gap analysis and submit to the Team Leader/Project Manager.
  13. Undertake any other activities that may be needed to support smooth implementation of the project activities and as advised by the Team Leader/Project Manager.

Position title:               Information andCommunication and Media Expert (Part time)

Reports to:                  Project Manager

 

Under the day to day supervisionand direction of the Project Manager and the co-guidance of the Team Leader, the IT Expert will undertake the following activities:

  1. Provide professional IT support for developing communication strategy, media outreach and partnership development with relevant Media Houses.
  2. Support the project team for establishing and running uninterruptedinternet service with adequate bandwidth andprovide maintenance support.
  3. Construct/establish interactive project webpage and maintain it as required under the direction of the manager.
  4. Develop links for  A@SP web page to different social sites, especially IMC/I@I Blog, Twitter and Facebook pages
  5. Prepare at least 4 different video/PowerPoint presentations for deliveringWebinar/educational/training materials/documentaries, i.e., filming training on A@S, instructions for filling up the prize application forms, documenting/filming best practices, documenting/filming prize award ceremony and recognition prize award ceremony. The length of the finalized video would be 15 to 45 minutes.
  6. Gather and publish innovative ideas and best practices of the project joining the work of the M&E expert
  7. Upload project related information, photographs, activities, etc., to the webpage as per the guidelines and approval of the A@SPP.
  8. Prepare/draft, notices, news items, media briefs, press releases, press notes, etc.
  9. Coordinate media activitiesincluding press releases, Op Eds, news items, TV/radio live/recorded discussion forums, interview, etc.
  10. Support sharingand dissemination events with media partners as decided by the A@SPP.
  11. Develop, design and layout project newsletter on periodic basis (at least 3)
  12. Participate in the events and draft workshops, training and other event proceedings
  13. Collect and draft regular news items for uploading to the webpage
  14. Undertake any other activities that may be needed to support the project implementation.
